Solis Events Ltd is committed to protecting your privacy. This policy explains what personal information we collect, how we use it, how we store it, and the rights you have under UK data protection law. A privacy notice should be provided at the time you collect personal data and should be clear about purposes, retention and sharing. 

What information we collect

We may collect and process the following information:

  • Contact details (name, email address, phone number, company/organisation)

  • Enquiry and project information you provide (event details, venue, dates, budgets, preferences)

  • Communication records (emails, messages, call notes)

  • ​Website usage data (Google Analytics): pages viewed, time on page, approximate location (city/region), device/browser information, traffic source (e.g., search/social), and interactions with the site. This data is collected via cookies and similar technologies.

  • Basic website usage data (for example pages visited and how you found our site) via cookies/analytics where enabled

  • Client account information (billing address, invoices, purchase orders and payment records) where you become a client
     

We don’t intentionally collect special category information (such as health information) and we ask that you don’t include it in website forms unless it’s strictly necessary for your request.

How we use your information

We use personal information to:

  • respond to enquiries and provide quotes

  • plan and deliver event production services

  • send proposals, schedules, technical information and presentation documents

  • manage contracts, invoicing, payments and business records

  • improve our website and services

  • send service updates or marketing communications only where appropriate and where you have opted in (if applicable)

Lawful basis for processing

UK GDPR requires that processing is based on a lawful basis. 

For Solis, the typical bases are:

  • Contract / steps before a contract — where you ask us for a quote or we’re delivering services to you. 

  • Legitimate interests — where it’s reasonably expected and low impact, such as responding to general enquiries, keeping basic records, or improving our services. 

  • Consent — where required, such as for non-essential cookies and certain marketing communications. Wix notes that GDPR requires affirmative consent before placing non-essential cookies.

Who we share information with

We may share personal information with trusted suppliers and service providers where necessary to run our business and deliver services, for example:
 

  • website hosting and site tools (our website is built/hosted on Wix) 

  • email and productivity tools

  • accounting/invoicing providers

  • subcontractors and suppliers involved in delivering your event (only the details they need)
     

We do not sell your personal data.

International transfers

Some of our service providers may process data outside the UK. Where that happens, we use providers that apply appropriate safeguards for international transfers in line with data protection requirements.

How long we keep your information

We keep personal information only as long as necessary:

  • Enquiries: typically up to [12–24 months] after last contact (to manage follow-ups and record keeping)

  • Clients and projects: for the length of the relationship and then for a period required for legal, tax, and accounting purposes (commonly up to 6 years in the UK)
     

If you’d like us to delete an enquiry record sooner, you can request this (see “Your rights” below).

We use cookies and similar technologies to make this website work and to help us understand how it is used.
